Turn complex correspondence into a case you can manage.
IMPLEX AI helps you make sense of complex data rights requests, FOIs, complaints and grievances.
Bring requests, actions and deadlines together in one place, with a clear view of what changes as new correspondence arrives.
From complex correspondenceto clarity and control.
Explore the process below.
1. Prepare
Control what is analysed
Long correspondence can be difficult to understand and may contain personal or sensitive information.
IMPLEX AI proposes redactions for review before analysis begins.
The original remains within the platform and only the redacted content you approve is sent to our AI analysis service.
2. Understand
See the whole case
Identify each request and issue within the correspondence.
Important dates and source passages remain visible so you can inspect the basis for each finding.
The Case Overview provides the shape of the case without hiding the underlying detail.
3. Decide
Build the Case Plan
Turn the identified requests, issues and deadlines into a proposed working plan.
Review suggested actions, owners and dates, or add your own actions where the case requires them.
Nothing becomes part of the Case Plan until a person approves it.
4. Update
Keep the case current
Add later correspondence without starting the analysis again from scratch.
See what is repeated, what has changed and which genuinely new requests have been introduced.
Review the proposed changes and track any separate response dates.

Built around the work, not just the technology.
IMPLEX AI was the brainchild of Ian Birch, a certified Data Protection Officer with practical experience across data rights, information governance, information security assurance and cyber security. Ian co-founded IMPLEX AI with Ben Shaw to turn that domain experience into a purpose-built product for demanding correspondence.
The AI analysis service does not make decisions. IMPLEX AI uses maintained guidance to propose findings and actions; users decide what to accept, change or reject and remain responsible for the case.
Domain expertise
Co-founded by a certified Data Protection Officer with information security and cyber security expertise.
UK focused
Curated rules and procedural guidance cover UK data rights, FOI, complaints and grievances.
Maintained guidance
Curated guidance shapes the analysis, rather than leaving it to the user's prompt or the AI analysis service alone.
Traceable findings
Requests and issues link back to the communication that raised them, so users can check what was found.
General AI can help with a document.IMPLEX AI provides the case workflow.
AI has made lengthy, authoritative-looking correspondence easier to produce. General AI can help with a document; IMPLEX AI puts that analysis inside a structured case workflow that continues as new correspondence arrives.

Privacy teams
A data rights request expands through later correspondence and introduces new rights or dates.
HR teams
A grievance also contains a data rights request that needs its own handling and response timeline.
Complaints teams
One message raises several issues, followed by updates that repeat some points and change others.
Public bodies
Correspondence combines FOI, data rights and complaint points that must be separated and routed.
Bring the right adviser into the right case
Invite an external DPO, HR consultant, solicitor or other adviser into selected cases without exposing unrelated work elsewhere in the organisation.

- Is IMPLEX AI available now?
- IMPLEX AI is currently being introduced through guided demonstrations and a limited pilot. Request a demo to discuss suitability and early access.
- What can I use to start a case?
- IMPLEX AI supports PDF, Word and text correspondence. The received date is captured so requests, actions and response targets can be reviewed in context.

- Users keep the correspondence, Case Overview and Case Plan together. The plan tracks accepted requests and issues, actions, owners, statuses and separate target dates as later correspondence is added.
- How does it fit with our existing systems?
- IMPLEX AI is designed to complement them. Teams can carry out evidence searches, investigations and final responses in their existing tools while using the Case Plan to keep the case structured as correspondence develops.
- Who remains responsible for the case?
- The organisation does. IMPLEX AI proposes redactions, findings, actions and target dates for review. Users approve, edit or decline them and remain responsible for decisions, legal interpretation, responses and deadlines.
- How is it priced?
- Launch pricing is being finalised around one-off case access and annual plans with included cases. Pricing will be confirmed before any paid commitment.
